I'm the meeting organizer for a weekly meeting. We run Exchange 2007 and use Outlook 2007. I'd like to cancel one instance of this meeting. In Outlook 2003 I used to be able to open up that one instance then go to File->Actions->Cancel Meeting. I don't see Cancel Meeting anywhere. I tried to delete it but and send an update to everyone but they don't get it. The meeting is removed for me but not the others I invited. How do I cancel a meeting?

This works for me.

Go to the calendar and double-click the appointment
Click Actions > Cancel Invitation (if you set the meeting) or File > Delete (if you didn't set the meeting but are no longer attending)
You'll be prompted to notify other attendees or the organiser.

Note: If the appointment was set in Outlook 2003 before you upgraded to Outlook 2007, you will have to manually send a cancellation. The auto-cancel won't work in this instance.

I appreciate your quick reply. Unfortunately I'm still having trouble. I ran a couple of tests. I created a single meeting and a reoccurring meeting. In both cases I can go in and cancel them using the Cancel Meeting button. Unfortunately other times I don't get this option. I did some research and found that you can't cancel a meeting if your not the organizer. In my case I am the person who organized the meeting. Sometimes I get the option, sometimes I don't.

Is the availability of the Cancel Meeting option influenced by whether anyone has accepted/declined the invitation?

I don't know. I've been able to create other meetings and get ths Cancel Meeting icon. I have a ticket open with our company's Hosted Exchange provider. We'll see if they can find anything. Thanks for your help. If I find out anything I'll post it here.

Have you learned anything new about this? I have had this problem as well with Outlook 2007 in enterprise setting. As the meeting organizer, I have access to the Recurrence settings, but I do not get the Cancel Meeting button. Instead, under Actions, I only have the "Save & Close", "Calendar", "Delete", and "Forward" options. And of course, "Delete" only deletes for yourself instead of allowing you to remove from everyone's calendar.

Looking for advice on this topic as well.

Thanks.
