olympus digital dictation DSS player

we are starting to use olympus ds4000 for dictation. I have a problem where the file doesn't email - stays in the download tray and can't be manually sent(the send/receive won't work and on trying to send by right clicking file every option is greyed out) it seems to lose the email function even thou it is set up and has worked previously. can anyone help?
